Task Assignment Policies

The Task Assignment Policy determines how tasks are assigned to users during the workflow execution. There are two policies available:

  1. Specific User: This policy allows you to assign the task to a fixed user specified during the workflow design process. When this policy is selected, the “Assigner” property becomes visible. The “Assigner” is the user who will receive the task and be responsible for manually selecting the next user to assign the task to.
  2. Task Escalation Users: This policy is used to assign tasks automatically based on user availability. It follows predefined escalation rules or paths to determine the appropriate user to assign the task to, ensuring that tasks are assigned efficiently and promptly without manual intervention.

When the “Specific User” policy is chosen, the “Assigner” property is used to set the user who will receive the task and select the next user to assign it to. This property is only visible and applicable when the “Specific User” policy is selected.

Additionally, the “Assign to which role” property allows you to filter the list of users displayed to the “Assigner” based on their roles. This feature ensures that the “Assigner” can select the next user from a relevant and targeted list of users, potentially improving the efficiency and accuracy of the task assignment process.

It’s important to note that when the “Task Escalation Users” policy is selected, the system automatically assigns the task to the appropriate user based on the defined escalation rules and user availability, without requiring manual intervention or the need for an “Assigner.”

In summary, the Task Assignment Policy provides two options: “Specific User” for manual assignment by a designated “Assigner,” and “Task Escalation Users” for automatic assignment based on predefined escalation rules and user availability. The choice of policy and the configuration of related properties, such as “Assigner” and “Assign to which role,” allow for customization to suit different workflow requirements.
