Fill Form Step

Description

The “Fill Form” step is used to assign a task to a user in the form of an action form. Users can either accept the task or reject the task using the “Accept” and “Reject” buttons. After opening the task, two buttons Accept (Green) and Reject (Red) will be visible to the user.

Properties

  • Which form
This property is used to attach the form which you want to assign to the user. It will show all the action forms of the object form selected while creating the workflow. During workflow execution, the selected form will get assigned to the user during the workflow execution.

  • Rejection form
This property is used to attach a form which will be shown to the user on rejecting the task. By default, when a task is rejected, the app will prompt the user for their comments describing the rejection reason. But if the rejection form is specified, more details about the rejection can be captured than just the comments.

  • Task Assignment Policy
This property allows you to select the way in which you wish to assign tasks to other app users. There are multiple task assignment policies to choose from, and each allows you to choose how a task gets assigned in the intended manner.

  • Due Date Policy
This property allows you to choose the starting date of a task’s duration for which it is valid for. You can either choose a fixed date (which will be the date the task gets triggered through the workflow), or reference a date from a date field within a form.

  • Due Date Duration
This property allows you to set the duration for which the task, once assigned, will be valid for. You can input a numerical value here, and in the next field, specify the unit.

  • Due Date Unit
This property allows you to set the duration unit, such as minutes, hours, days, weeks, etc.
E.g. If the duration value is 10, and the unit selected is ‘Days’, the task will be valid for 10 days from the day it gets created and assigned. Post its expiry, a task cannot be completed.

  • Send Email/Mobile Notification
This property is used to configure the task email notification. It has two options: Yes/No.
    • When you set this property as “Yes“, the user you have assigned the task will receive the email notification.
    • When you set this property as “No“, the user you have assigned the task will not receive any email notification.

  • Assigned by User
This property allows you to select between the options of either “System” or previous step Submitter, which allows you to choose who actually assigns the task.

  • Is Task Rejectable
This property is used to make the assigned task rejectable. It has two options: Toggle ON/OFF.
