Fill Form Action

The “Fill Form Action” step is used to assign a task for manual completion of the next action by selecting the user from the list. You can filter the user’s list according to the role of the user. When you drag this step, it will show two connected steps. The first step will be the assigner step for who is going to assign the next action and the second step will contain the form which is going to be assigned to the user selected in the first step.

There are different properties of Fill Form Action step:

When you click on the Fill Action step dropped in the workflow designer area, a set of properties can be seen on the right panel. Find the below properties for the first step:

Action Assignment Policy
There are 2 policies according to which the Fill Action will get assigned.

  1. Specific user: This policy is used to assign the action to the fixed user specified while designing the workflow.
  2. Action escalation users: This policy is used to assign actions based on the users’ availability.

Assigner This property is used to set the user who is going to receive the task to select the user and assign the next action to. This property is visible when the action assignment policy is set as “Specific user“.

Assign to which role This property is used to set the role according to which the user’s list will be filtered, from which the assigner can select the user to assign the next action.

Rejection form
This property is used to attach a form which will be shown on rejecting the assigned action.

Is Action Rejectable This property is used to make the assigned action rejectable. It is having two options: Toggle ON/OFF. When you set this property as “ON“, the assigned action becomes rejectable. This will show the “Accept and Reject” buttons when the action is opened. When you set this property as “OFF“, the assigned action will not be rejectable. The “Accept and Reject” buttons will not be visible.

Find the below properties for the second step of the Fill Action:

Which Form This property is used to set the form which is going to be assigned to the user selected in the first step of the manual action assignment.

Rejection form This property is used to attach a form that will be shown on rejecting the assigned action.

Is Action Rejectable This property is used to make the assigned action rejectable. It is having two options: Toggle ON/OFF. When you set this property as “ON“, the assigned action becomes rejectable. This will show the “Accept and Reject” buttons when the action is opened. When you set this property as “OFF“, the assigned action will not be rejectable. The “Accept and Reject” buttons will not be visible.

Send Email Notification This property is used to configure the action email notification. It is having two options: Toggle ON/OFF. When you set this property as “ON“, the person you have assigned the action will receive the email notification. When you set this property as “OFF“, the person you have assigned the action will not receive any email notification.
