Automate Reporting

You can automate the generation of PDF Reports and send them via email by following the steps mentioned below –

1. Visit builder.axonator.com and navigate to the app in which you want to automate the necessary reporting process. 
2. Once you have created form/s and PDF Report Template/s in the app, navigate to the workflow builder. 
3. Create a new workflow or open an existing workflow. 
4. To create a simple workflow that will automate the sending of PDF Reports via email, drag and drop the following steps in the canvas and connect them in the order mentioned below – 
   1. Start 
   2. Generate Document
   3. Send Email
   4. End
5. Next, you must set the properties for each step in the workflow so that it functions as per your requirements. For each step, the properties to be set are –
   1. Start – Select the form which will trigger the workflow when it is submitted by a user. 
   2. Generate Document – Select the template of the PDF Report which you want to generate from the dropdown of the “Which Template” property. The dropdown shows a list of all the default and custom PDF Report templates. You can select the one which corresponds to the form whose data you want to view as part of a PDF Report. 
   3. Send Email – For this step, fill in all the important properties such as the recipient’s email address, the email template, and enable the “Attach a Document” option. Once you enable this option, you can select which document you want to attach by referencing the “Generate Document” step. 
6. After all the properties have been set, save the workflow and make sure it is activated. 
7. To start receiving emails with PDF Reports upon data submission, make sure the app is published and all changes have been synced with the mobile app as well. 

Please note – 

If you want to display data submitted via forms in a report, the “Generate Document” step should come after a step in which data is being submitted (e.g. Start, Fill Form, Assign Task), so as to populate the report template with the appropriate data values before it is sent via email.
Only one PDF report template can be selected per “Generate Document” Step.
